Leave Requests

 

Leave Requests is an optional feature that lets your staff request leave online, via their Employee Payslip Kiosk.

Leave Requests must then be approved (by your Paymaster or by the person's manager) before being recorded as taken and paid.

To start using Leave Requests

  1. Turn on Leave Requests.
  2. Turn on the Leave Calendar on the Organisation Defaults page if you want Employees to be able to review other people's Leave when they are in their payslip Kiosk. Note: The Calendar in the Kiosk will be restricted to only show people who share a Manager (see below).
  3. If you want several different managers to approve Leave Requests see Setting up Managers (below).

Employees Requesting Leave


Employees can make Leave Requests by logging into the Employee Payslip Kiosk and then selecting the Leave Requests tab. They will also be able to view a Leave Calendar, showing other people's leave, if that option has been enabled.

Approving Leave Requests


Authorised Users (typically the person's manager, or the paymaster) can view and approve or decline their staff's Leave Requests from the Leave Requests page.

To assist in deciding whether to approve a request the Leave Calendar Report displays an overview of all leave - including taken, approved and pending leave.

eMailing Leave Requests

  1. Around 8am each week day managers will receive eMails for any outstanding leave requests.
  2. When a Leave Request is approved (or declined), an email will be sent to the staff member.

Recording and Paying Approved Leave


Once Leave Requests have been approved they are automatically added to the person's timesheet when a payroll is Opened. (Future Leave will not be added until a payroll is run that covers the start of the leave period).

If a person still has a Pending Leave Request (i.e. it hasn't been approved) when the payroll is Opened, a message will be displayed under the person's name in Timesheet Entry. This will prompt the person running the pay to contact the manager, or approve the leave themselves.

Setting up Managers


If you want several different managers to approve Leave Requests follow these steps:-
  1. Set up additional users for each manager, with a 'Leave Approver' role.
  2. Set up User Defined Fields for each area of responsibility (e.g. branch or department)
  3. Assign each user, and their email address, to each area of responsibility.
Managers will only be able to view details for people within their area of responsibility.
