There are two sorts of timesheets, Standard Timesheets and those that are part of a Payroll. When you Open a new payroll, standard timesheets for the people selected are copied into that new payroll.

Important: If you change a person's Standard Timesheet, those changes will be copied into and used in every subsequent payroll.

Adding, Changing or Removing Transactions

  1. To Change an existing transaction in the timesheet, select the line you wish to change.
  2. To Add a new transaction to the timesheet, enter the Quantity, Select a Payment / Deduction from the drop down list and press the Add button.
  3. To Remove an existing transaction, select the line you wish to change and then press the 'Remove this transaction' button.

Standard Timesheets in Use

When you Open a new payroll, standard timesheets for the people selected will be copied into that new payroll. These standard timesheets will always contain tax and banking transactions. You should also add any recurring or regular transactions to a persons standard timesheet so you don't have to enter them every pay.

Typical Uses for Standard Timesheets

Standard Timesheets are usually used to:

  • Automatically pay a salary to salaried staff.
  • Automatically pay standard / core hours to a full time or part time person on an hourly wage.
  • Make regular deductions each pay (e.g. union fees, personal savings, or superannuation).
  • Pay regular allowances each pay (e.g. telephone allowances, or length of service based allowances).

Standard timesheets also contain Leave Entitlement transactions, that are important for calculating leave entitlements, balances and accruals.

Finding Standard and Payroll Timesheets

  • To see Standard Timesheets, Select a Person and follow the 'Standard Timesheet' link.
  • To see Timesheets in your current payroll, go to Enter Timesheets and select the timesheet you want to view.
    Note: If you have just set up an organisation you will have to Open a new Payroll before you can see any timesheets.
  • When viewing a timesheet in a payroll, select the 'Standard Timesheet' link (displayed above the timesheet), to quickly display the standard timesheet.

Multiple Cost Centres / Costing Splits

Standard percentage splits for costing purposes, can be set up on the standard timesheet.

For example, if a weekly paid person has 60% of their time going to cost centre 1000 and 40% of their time allocated to cost centre 2000 their standard timesheet would be set up with:-

  • 24 hours Ordinary Time to Cost Centre 1000
  • 16 hours Ordinary Time to Cost Centre 2000

The cost centre split will be displayed below the Standard Timesheet like this:-

Cost Centre Splits

  • 1000: 60.0%
  • 2000: 40.0%

These transactions will be used for every payroll. If the person receives overtime or other payments that are to be split these can simply be allocated to the appropriate cost centre when entering timesheets.
